What Should Organizers Consider Before Collecting Money for Relief?

Before collecting relief funds, organizers should explain the purpose, contribution route, records, and contact responsible for questions.

Define the intended use

Write down what the collection is meant to support before inviting contributions. Describe the planned use in plain terms, such as groceries for a named partner organization’s program or transport for a particular community activity. Avoid promising a result that has not been agreed with the recipient or partner.

If needs may change, explain how organizers will decide whether to redirect funds and who will be consulted. A donor should be able to understand the scope before deciding whether to contribute. Clear limits also help volunteers answer questions consistently.

Explain the collection method

State how people can contribute, who will receive the money, and any practical instructions for the chosen method. Use an account or collection point that the responsible organizers can monitor, and identify the person who can resolve a mistaken or duplicate contribution. Do not publish sensitive donor information as part of a public update.

For an in-person collection, name the location and the person responsible for securing the funds. For an electronic method, tell contributors how to identify the collection and where to direct questions. Keep the instructions short enough that people can follow them without relying on word of mouth.

Keep a proportionate record

Choose a recordkeeping method before funds arrive. A basic ledger might include date received, amount, collection channel, and date or category of disbursement. Limit access to those responsible for the money. A public summary can report totals and uses without listing individual contributors unless they have agreed to be named.

For example, two organizers can compare the recorded amount with the amount transferred to the partner, then note the transfer date and purpose. If a discrepancy appears, pause further disbursement while the responsible contact checks the record and explains the next step.

Make accountability understandable

Provide a named contact and a reasonable way to ask about the collection. Afterward, share a concise accounting of what was received and how it was used, consistent with the original purpose and any agreed changes. Quran 2:177 presents giving among a wider description of righteousness, alongside commitments and other responsibilities; it does not by itself settle the practical rules for a particular fundraiser.

For questions involving legal, tax, or organizational obligations, organizers should consult a qualified local professional or the relevant organization. Transparent purpose, careful records, and clear responsibility help contributors make an informed choice and help recipients receive support with fewer uncertainties.
